The Ohio Psychological Association (OPA) is a dynamic and innovative membership organization representing 3,500 Ohio psychologists. The organization is seeking a dedicated multi-faceted individual who can play a pivotal role in streamlining the process of tracking mandatory continuing education for psychologists as well as contributing to the overall goals of the association. The ideal candidate will be detail-oriented with proven customer service skills, thrive in an environment of collaboration and be able to adjust to varying duties as dictated by the ebb and flow of a two-year reporting cycle.
Position:
The OPA-MCE Compliance Coordinator (part-time) is responsible for ensuring accurate, timely and professional support for Ohio psychologists seeking continuing education (CE) credit, while also reinforcing the capacity of the OPA-MCE compliance officer, directors and CEO by completing delegated tasks by established deadlines. Half of the position’s function involves responsive, high-accountability administrative support to leadership in a deadline-driven environment. The coordinator must demonstrate reliability, attention to detail and timely follow-through in all assignments.
Core Responsibilities:
- Certificate of Completion processing for 3,500 Ohio psychologists.
- Single Course Review Processing: Receive, process and route CE course submissions for committee review. Accurately record outcomes in database tool and maintain clear digital records.
- Transcript Processing & Board Reporting: Generate and mail CE transcripts to psychologists and provide monthly (or weekly during peak season) completion reports to the Board of Psychology. Ensure records are archived and compliant.
- New Licensee Onboarding: Create database accounts and send registration and instructional emails to newly licensed psychologists.
- OPA-MCE Provider Application and Attendance Sheet Processing: Process provider applications and renewals, support committee review, and maintain database accounts. Ensure timely communication with current and prospective providers. Enter attendance sheets in a timely manner and in compliance with set procedures.
- OPA-MCE Registration Monitoring: Send recurring reminders (at least quarterly) encouraging psychologists to register, with increased frequency near biennium close.
- Event Calendar Postings: Add CE events to the online calendar using our Content Management System (YourMembership – YM).
- OPA OnDemand Webinar Certificate Fulfillment: Generate and email CE certificates to psychologists based on verified attendance for OPA’s OnDemand Webinar Library.
- Customer Service & Mass Communications: Respond to phone and email inquiries within two business days. Draft and distribute monthly email and postal notices at least two weeks prior to deadlines.

- Support to the OPA-MCE Compliance Officer: Meet weekly to coordinate shared responsibilities. Provide guidance and handle escalated communications with psychologists or providers.
- Reinforce Capacity of OPA directors & CEO: Complete tasks assigned by the director of communications & education, director of membership and the CEO by specified deadlines. Timeliness, follow-through, and responsiveness are essential.
Qualifications:
- Strong organizational and project management skills.
- Exceptional attention to detail and procedural adherence.
- Excellent communication and interpersonal skills.
- Database management and Microsoft Office suite experience.
- Basic understanding of mass marketing tools such as Constant Contact.
- Foundational social media skills.
- General video editing competency.
- Ability to work independently in a hybrid work environment.
