Beyond merely a pediatric membership organization, the Ohio AAP has been a leader in programming, advocacy, and child health for over 85 years as the strongest network of education and advocacy for pediatrics in the state. The Ohio AAP encompasses 3,000 Ohio pediatricians and residents who are enthusiastic and committed to pediatrics; last year alone they directly impacted over 875,000 children through their programs and reached over 174 million people nationwide in their awareness campaigns.

About the Position

This position performs a wide variety of administrative tasks in support of a CEO and COO. Has broad knowledge of how the organization works and along with policies and procedures. Maintains a high level of professionalism and handles confidential and sensitive information for the executive team and Board. Schedules, guides and manages the key engagements of the CEO. Ability to clearly articulate communication both internally as well as externally.

Essential Duties and Responsibilities:

  • Performs advanced administrative duties for CEO and COO.
  • Initiates and answers correspondence in the name of the CEO.
  • Creates or edits emails, letters, presentations and reports often of a confidential nature.
  • Maintains an organized office environment.
  • Prepares agendas for presentations, attends meetings with the CEO and takes, transcribes, and distributes notes or minutes.
  • Screens telephone calls and responds to mail or email correspondence.
  • Receives and directs visitors; maintains confidentiality of all information.
  • Works with CEO’s calendar: schedules and confirms appointments; arranges for meeting rooms or other necessary facilities.
  • Schedules Board of Director meetings, staff meetings and Executive Committee meetings.
  • Maintains files for CEO.
  • Helps CEO maintain timeliness.
  • Performs work under minimal supervision.
  • Assists with invoice preparation and submission.
  • Processes Medical Director timesheets monthly.
  • Orders and maintains supplies.
  • Assistance with advocacy efforts as needed.
  • Handles complex issues and problems; possesses or uses appropriate resources to obtain comprehensive knowledge of subject matter.
  • Maintains confidential records.
  • Performs other duties as assigned.

About the Successful Candidate

Their ideal candidate will have the following qualifications/characteristics:

  • Strong attention to detail with pride in quality of final work product.
  • Passion for making a difference supporting the Ohio AAP mission.
  • Proficient Microsoft skills, MAC OS desired.
  • Have strong listening and problem-solving skills.
  • Self-starter with excellent time management and organizational skills.
  • Ability to prioritize tasks, balance multiple priorities, and meet deadlines.
  • Flexible with the ability to rotate from task to task without sacrificing quality.
  • Exercises sound judgment in position and tasks.
  • Uses tact and good judgment in confidential situations and proven experience interacting with executives.


Compensation

This is a part-time salaried position with paid time off (PTO). Salary is $18.00-22.00/hour; 20 hours/week.
