BASIC FUNCTION
This part-time, temporary Event Management Assistant position provides key support to the Director of Event Management. The position offers supplementary assistance to execute industry-specific educational sessions (in-person seminars, live webinars, etc.), and also provides support (as needed) to fulfill responsibilities associated with a multi-state tradeshow boasting over 4,500 attendees.

PRINCIPAL DUTIES & RESPONSIBILITIES 

Information Management & Data Entry 

  • Provides backup assistance to Director of Event Management in managing electronic event records. 
  • Provides backup support for data entry for industry event registration, including updating existing records and populating appropriate data fields where new information is available. 

Event Planning

  • Assists with planning documents, invitations and lists, mailings, responses, guest lists, etc. 
  • Drafts various event-related correspondence and materials. 
  • Assists with event-related travel activities, including coordinating pre-show preparation. 
  • Generates event reports from online registration database.
  • Assists with day-of event execution and manages nametags, place cards and table cards and staffs the registration desk at the event, as assigned. 

Administrative & Other

  • Pays close attention to and ensures the highest level of accuracy, quality, timing and other details in all aspects of work products – including grammar. 
  • Responds to external requests for information, materials or assistance in writing and on the telephone.
  • Provides general administrative support to Director of Event Management as necessary, to include special projects, assembling packets, arranging meeting logistics, etc. 
  • Assists with filing.

EDUCATION REQUIREMENTS 
Bachelor’s degree required. Experience such as college work-study, internships, or other events-related experience considered. 

TRAVEL
Overnight travel will be required from March 23, 2015 through March 27, 2015, and at such times as deemed necessary for efficient execution of association events. 

PARKING
The association will pay a maximum monthly rate of $100.00 for parking expense. 

RATE: $15.00/hour
